With over 20 years of experience running home-based food businesses, I now pay for robust accounting software. However, when I started, I relied on spreadsheets to track my business expenses—and I recommend you do the same.

Invest every penny into things that generate revenue. Until you’re making a significant profit, track your expenses for free.

Why Tracking Expenses Matters for New Small Businesses

Starting a business is a challenge. To be blunt—many new businesses fail.

I don’t say this to discourage you, but to ensure you make informed decisions. I’ve seen friends and consulting clients put their families in financial distress by taking on massive debt in pursuit of self-employment dreams.

I want your food business to be a blessing, not a burden. That means being honest with yourself and your family about your financial investment.

Honesty requires knowing the truth.

  • Truth comes from data.
  • Data comes from records.
  • Records require tracking every penny you spend.

The Free Food Business Expense Tracking Spreadsheet

I created a simple business expense tracking sheet in Google Sheets to help you manage your finances in the early months of your business. If you have a Google account, you can access it for free.

Understanding the Tabs in the Expense Tracking Sheet

1. Business Expenses Tab

This tab tracks costs related to launching and maintaining your food business.

Examples include:

  • Business cards, flyers, and advertising
  • Accounting services
  • Equipment and software subscriptions
  • Phone and internet services
  • Website design and bulk email services

Some of these costs are one-time, while others recur monthly or annually. The sheet helps you monitor commitments and avoid financial surprises.

Tip: Keep expenses low while positioning yourself for success. Aim for a balance of quality and cost-efficiency.

2. Cost of Goods Sold (COGS) Tab

COGS is crucial to running a profitable food business. Many restaurants fail because they don’t understand the actual cost of their menu items.

Note: Recipe costing is a part of COGS, but not the whole picture. Every business has COGS, whether you’re a food blogger, a caterer, or a restaurant owner.

Tracking COGS ensures you price items correctly and control profits. Without it, you can’t determine your earnings per hour—leading to financial instability.
